Solution

AI receptionist for business

It is 6:40 in the evening. Your phone rings while you are with a customer, and by the time you call back, the caller has booked someone else. That happens every week in businesses of every size, and it is almost never because you did not want the job. An AI receptionist picks up every call, text message and web chat inquiry in your business's own words, books the appointment into your calendar, takes a proper message when a person is needed, and tells you what happened. The phone stops costing you customers.

The problem

Calls are missed when you are busiest or closed, and most missed callers try the next business instead of leaving a voicemail.

What we build

An AI receptionist on your number, text and web chat that answers in your words, books into your calendar and takes proper messages.

What you get

Every call answered, appointments booked while you work, and a transcript of every conversation in one inbox.

A sample night with a made-up business. Text messages to US numbers need a registered business number (A2P 10DLC), which we set up with you.

So what does it actually do when the phone rings?

It picks up. That is most of the value. The caller hears a natural voice that greets them with your business name, asks how it can help and understands a normal answer, not a menu of numbers to press. It answers the everyday questions from information you approve: your hours, where you are, which services you offer, how long things take, whether you serve their area, how your pricing works in general terms.

When the caller wants something done, it does it. It offers free times from your calendar and books the one they pick, moves or cancels an existing appointment, or takes a message with the caller's name, number and reason, written up properly rather than as a garbled voicemail. A confirmation goes out by text message straight after the call. And when a call should reach a person (an urgent job, an upset customer, a supplier you always want to talk to), it transfers the call to the number you choose, or tells the caller exactly when someone will call back.

One assistant for calls, texts and web chat

Customers do not stick to one channel. Someone sees your website at night and uses the chat box, then texts the next morning, then calls when they are in the car. The same assistant answers on all three, with the same information and the same rules, and every conversation lands in one inbox with the customer's name and history. A person who texted yesterday is not asked their name again today.

Text messages to US numbers have to come from a business number registered with the carriers through the SMS provider, the A2P 10DLC registration. We set that up with you; it usually takes from a few days to a few weeks. Until it is approved, the assistant can still answer calls and web chat.

You choose when it picks up

You decide when it answers. Some businesses want it on every call, so the phone is always picked up on the first ring and staff only handle the calls that need them. Others keep their front desk and use the assistant only after hours and at weekends. A common middle ground is overflow: your phone rings as usual, and if nobody answers after a few rings, the call is forwarded to the assistant instead of voicemail.

Your number stays the same in every case. The assistant sits behind call forwarding or a number we set up for it, and you can switch it off from your phone in a minute if you ever need to.

What it will never do without you

You write the rules once, with our help: what it may book on its own, which questions it answers and how, which callers always go to a person, and what it says when it does not know. It does not quote a price for a custom job, promise a delivery date it cannot check, handle a refund or a complaint, or give medical, legal or financial advice. Those calls get a polite answer and a fast handover.

AI output is a strong first guess, not a guarantee. That is why every call is transcribed and summarised in the inbox, why a booking shows the conversation it came from, and why anything the assistant is unsure about is taken as a message instead of guessed. In the first weeks we read the transcripts with you and adjust the answers wherever a real caller asked something the rules did not cover.

Setting it up takes a list, not a project

The first step is a list: the questions callers ask, the services and how long each takes, your hours, your calendar, and who should get which calls. We write the greeting and the answers in your voice, connect the calendar (Google Calendar, Microsoft calendars, or booking software with an API), and test it with sample calls until it handles the common cases the way your best receptionist would.

Then it goes live on the hours you choose, usually after-hours first. You see every call in the inbox, so you can judge it on real conversations before giving it more of the day. If something your business does is not a good fit for an AI receptionist, we will tell you on the first call.

Should you just buy an app instead?

There are AI receptionist products you can sign up for, and for some businesses they are the right answer. What a built receptionist adds is fit: it follows your rules rather than a template, books into the calendar and the CRM you already use, writes to your own records, and can grow into lead follow-up and invoicing later without moving everything again. You own the setup and the data.

If a product would serve you better than something built, we will say so plainly. The 20-minute call is for finding that out.

Cost works the same way. A product charges a monthly fee per line or per minute; a built receptionist has a one-time build and then small running costs for the phone line, the text messages and the AI. Which is cheaper depends on your call volume and how much of the work you want it to do, and we lay out both before you decide.

How it works

  1. Step 1A customer calls, texts or uses the chat on your website, at any hour
  2. Step 2The AI receptionist answers in your business's words, from information you approve
  3. Step 3It books, moves or cancels the appointment in your calendar and texts a confirmation
  4. Step 4Anything that needs a person is transferred or taken as a proper message
  5. Step 5Every conversation is transcribed and summarised in one inbox for you

Built on your own phone number, calendar and records. Text messages need a registered business number (A2P 10DLC), which we set up with you.

  2. CallerMy AC stopped cooling and it's really hot in here.
  3. AvaI'm sorry, let's get that fixed. First, is anyone at home elderly, very young or unwell in this heat?
  4. CallerNo, it's just me.
  5. AvaOkay. I can get a technician to you at 8:00 AM tomorrow. Can I take your name and address?

Sample call. Made-up homeowner, sample company.

A sample after-hours call: the agent answers, checks availability and books. It is a recording made with sample data, not a live phone line.

Type a sample inquiry and see the reply, the lead score and the follow-up plan. Sample data only, nothing is sent.

All demos. Every demo uses sample data, and the browser demos never send anything to a real phone.

Questions

Will callers know they are talking to AI?

We recommend it says so in the greeting, in a sentence, and most callers simply carry on. It speaks naturally and understands normal answers, and a caller can ask for a person at any time; the call is then transferred or a message is taken, depending on your rules.

Can it transfer a call to me?

Yes. You choose which calls go straight to a person (urgent jobs, existing clients, anyone who asks), and to which number at which hours. If nobody picks up, it takes a message and tells the caller when to expect a call back, then sends you the summary.

Does it work with text messages?

Yes. The same assistant answers and books by text message (SMS), and sends confirmations and reminders. Texts to US numbers need a business number registered with the carriers through the SMS provider (A2P 10DLC); we set that up with you, and customers can reply STOP at any time.

Which calendars and booking tools does it work with?

Google Calendar, Microsoft calendars and most booking or practice software that offers an API. If you book on paper or in a spreadsheet today, we build a simple booking screen as part of the setup, and the assistant books into that.

What happens when it gets something wrong?

Every call has a transcript and a summary, so mistakes are easy to see. You correct it in the inbox, we update the answer or the rule, and it does not happen again. Anything it is unsure about is taken as a message instead of guessed, so the cost of a mistake is a call back, not a wrong booking.
