Custom CRM software, with AI lead sorting

You have probably tried a CRM before. For a few weeks everyone used it. Then the real work drifted back to email, text messages and a spreadsheet, and the CRM became one more thing nobody updates. A custom CRM starts from the other end: the inquiries you actually get, the way your team actually works, and an AI that reads every message so nobody has to sort the inbox by hand.

The problem

A CRM nobody updates, while the real inquiries sit in email, texts and a spreadsheet.

What we build

A CRM built around how your business works, with AI that sorts every inquiry and orders and invoices joined on.

What you get

One inbox sorted by what each customer wants, a team that only handles what needs a person, and the whole picture on one screen.

Why the last CRM did not stick

Big CRM products are built for sales teams with dedicated people who live in the pipeline all day. Most real businesses, whether ten people or two hundred, have owners and managers, staff in different roles, and customers who write in on four different channels. The product asks for fields nobody fills in, the stages do not match how deals really move, plans grow with every staff login, and the inquiries that matter still arrive somewhere else. So the CRM becomes one more place to update, and then one more place nobody updates.

That is not a reason to avoid CRMs. If one of the big products fits how you work, use it, and we will tell you so on the first call. A custom CRM makes sense when the fit is the problem: when your business has its own way of turning a question into a job, an order or a booking, and no template follows it.

9 am: forty inquiries, already sorted

At 9 am the owner opens one inbox. Overnight, forty inquiries came in from the website form, email, text messages, social messages and two voicemails. Each already has a label: buying now, buying later (with the date the customer mentioned), just asking, order status, complaint, or not interested, with a confidence score and a one-line reason a person can check in a glance. The buying-now ones are at the top.

The routine ones are already handled. Questions about hours and delivery got an answer, order-status messages got the current stage, buying-later customers got a polite note and a follow-up date. What is left for the team is the work that needs people: the big quote waiting for approval, the complaint, the customer who asked for something unusual.

Where the AI stops and your team starts

AI lead scoring here is not a mysterious number. The AI reads each message and says what the customer wants, how sure it is, and why, in plain words. Your rules then turn that into priority: the value of the request, how soon they need it, whether it is a repeat customer. You can see every input that put a lead at the top.

The AI does not send a large quote on its own, does not argue with a complaint, and does not guess when it is unsure: a low-confidence message goes to a needs-a-look list for a person. Any label a staff member corrects is corrected at once and the right rules run again. AI output is a strong first guess, not a guarantee, and the system is built around that.

Won is not the end of the story

A CRM that stops at won leaves the hardest part to spreadsheets. When a lead is marked won, the system creates the order with a number and a due date, reserves the materials or stock it needs, raises a purchase order if something runs short, and tells the customer. As the order moves through your stages the customer hears about it at the points you choose, and the invoice is raised when the work is done, with a receipt when it is paid.

For service businesses the same idea applies with jobs instead of stock: a won lead becomes a scheduled job with the right person, the job becomes an invoice, and the invoice is chased until it is paid.

That joined-up chain is the real difference from a contact list. The owner can open a customer and see the first message, the quote, the order, the invoice and the payment in one place, and so can the person on the phone when that customer calls back. Nobody has to ask a colleague what happened last time.

Everyone sees their part, and only their part

Each person logs in with their own role. Sales staff see inquiries, approvals and orders; accounts sees orders, stock and invoices; the workshop sees orders and stock; the owner and a manager see everything. The menu and the server both enforce it, so a hidden screen cannot be opened by typing its address.

Every change is written to an audit log by the database itself: who changed what, and when, including the AI and the automatic rules. The data lives in your own database, in the region you choose, not in a spreadsheet and not shared with anyone else.

Do not take our word for it: open the demo

FamingU Flow is the working version of this, and you can open your own copy in a minute. It creates a private workspace with sample products, staff and rules, pours in a busy morning of sample inquiries and lets you sort them with the AI, correct labels, approve quotes, win a lead and follow it through to an invoice. In our own tests, sorting forty sample inquiries took about five seconds; the labels are a strong first guess, and you will see a few you would correct.

The demo sends its messages inside the app, not to real phones, and the workspace is deleted after 24 hours. Connecting a real phone number, email or WhatsApp account is part of each client's build.

How it works

  1. Step 1Every inquiry from forms, email, calls, text and social messages lands in one inbox
  2. Step 2The AI labels what each customer wants, with a confidence score and a reason
  3. Step 3Your rules reply, set follow-ups, and send big quotes for approval
  4. Step 4A won lead becomes an order or a job, with stock, purchase orders and the invoice following
  5. Step 5Each person sees their part; the owner sees everything, with an audit log behind it

Built around your business. Text messages need a registered business number (A2P 10DLC); WhatsApp needs the WhatsApp Business API. We set up whichever you use.

See it working

Your own private workspace with sample data, deleted after 24 hours. Messages stay inside the app; nothing is sent to real phones.

All demos. Every demo uses sample data, and the browser demos never send anything to a real phone.

Questions

How is this different from HubSpot or Zoho?

Those are products built for many businesses at once, and for some businesses they fit well. A custom CRM is built around yours: your channels, your stages, your rules and your roles, with orders and invoices joined on. It can also connect to one of those products if you want to keep it for part of the work.

What does AI lead scoring mean here?

The AI reads each message and labels what the customer wants, with a confidence score and a one-line reason. Your rules add the value, the timeline and the customer's history to set the priority. Every input is visible, so you can see why a lead is at the top and change the rules.

Can we move our existing contacts and deals in?

Yes. Spreadsheets and CSV exports from most CRMs can be imported, and we run the old and new side by side for a short time so nothing is lost on the day you switch.

Where is our data stored?

In your own database, in the region you choose, with logins for each staff member and an audit log of every change. If you prefer, it can run on a server you control.

Does it work by text message, email and WhatsApp?

Yes. Replies and updates can go by text message (SMS), email or WhatsApp, and answers come back into the same conversation. Texts to US numbers need a registered business number (A2P 10DLC), and WhatsApp needs the WhatsApp Business API; we set up whichever you use.
