Lead follow-up automation, so no lead goes cold

You paid for that lead. It arrived at 9 pm on a Friday, nobody saw it until Monday, and by then the customer had already hired someone who replied first. Leads are paid for twice: once to get them, and again every time one goes cold. Lead follow-up automation replies to every new inquiry within minutes, asks the questions that tell you who is serious, keeps following up on a schedule you set, and puts the warm leads in front of a person to call.

The problem

Leads go cold because nobody answers forms, calls and texts fast enough, and follow-ups depend on someone remembering.

What we build

Automatic first replies within a minute, qualifying questions, lead scoring and a follow-up sequence by text and email.

What you get

Every lead answered in minutes, warm leads flagged to a person, and results by source on one screen.

Why the first reply usually wins

Speed to lead is the time between someone asking about your service and someone from your business answering them. When a person fills in three contact forms in an evening, the business that answers first usually gets the conversation, and often the job. Every hour of delay is an hour in which the lead is talking to someone else, or has simply moved on.

No sales team, however large, can answer every form, call and text within minutes, at night and at weekends, while also doing the actual work. Automation can. It does not replace the salesperson; it holds the lead warm, gathers what the salesperson needs to know, and makes sure the first reply never waits for someone to be free.

What happens the moment a lead arrives

Every inquiry is captured with its source (the website form, a phone call, a text, an email, a lead ad), so nothing lives only in one person's inbox. Within a minute the lead gets a reply in your words: thanks, confirmation of what they asked about, and two or three short questions that matter for your business, such as what they need, by when, and where.

As the answers come in, each lead is scored by rules you set (the job fits what you do, the timeline is soon, the budget range matches) and the AI's reading of the message. Hot leads are flagged to a named person with the whole conversation attached, and the assistant can offer them a call or an estimate visit straight from your calendar. Cold leads stay in the sequence instead of being forgotten.

The follow-ups nobody has time to send

Most leads do not answer the first message. A follow-up sequence is the set of messages that go out when they do not: for example a reminder the next day, a different angle three days later, a short check-in after a week and a last message after two weeks. Each one is written by you or with you, in your voice, and each can go by text message or email, whichever the lead used.

The sequence stops the moment the lead replies, books, or asks to stop. Opt-outs are honoured at once, by text (STOP) and by email. When the last message has gone with no answer, the lead is marked unresponsive and kept, so if they come back in three months their history is there and nobody asks the same questions again.

Every source, one list

Leads arrive from your website forms, from phone calls (an AI receptionist can log and qualify them), from text messages and email, and from lead ads and directory sites that can send an email or a webhook. All of them go into one list, so the source of each lead is clear and you can see which sources actually turn into customers.

If you already use a CRM such as HubSpot, Pipedrive, Zoho or Salesforce, the follow-up runs against it through its API and every message is logged there. If you do not, we build a simple pipeline for you: new, contacted, qualified, booked, won and lost, with the conversation behind every card.

The Monday-morning view

One screen answers the questions owners actually ask: how many leads came in this week and from where, how fast they were answered, how many are waiting for a call today, and which sources turned into paying customers last month. A short summary can arrive by email or text every Monday morning.

These are your own numbers, built from your own leads. We do not promise a conversion rate, because that depends on your offer, your market and the people who make the calls. What the system does promise is that no lead waits for a reply and none is forgotten.

Over a few months those numbers do something else: they show where the money for leads is well spent. A source that brings many leads but few customers, a time of day when leads go unanswered, a salesperson whose leads wait longest for a call. None of that is visible when leads live in three inboxes, and all of it is visible when they live in one list.

What it will not do

The AI writes replies from information you approve and reads each answer as a strong first guess, not a certainty. It does not negotiate, quote custom prices or make commitments your team has not agreed to; anything like that is handed to a person. Every message it sends is logged, and you can read and change the templates at any time.

Two setup steps take a little time. Text messages to US numbers need a business number registered with the carriers (A2P 10DLC) through the SMS provider. Email follow-ups need your domain's sending records set up properly (SPF and DKIM) so they land in the inbox rather than in spam. We do both with you as part of the build.

How it works

  1. Step 1A new inquiry arrives from a form, a call, a text, an email or a lead ad
  2. Step 2A reply in your words goes out within a minute, at any hour, with two or three qualifying questions
  3. Step 3Each lead is scored by your rules and flagged to a person when it is warm
  4. Step 4Follow-ups by text or email go out on your schedule until the lead replies, books or opts out
  5. Step 5The owner sees leads, response times and results by source on one screen

Runs on your own CRM if you have one, or on a simple pipeline we build. Texts need a registered business number (A2P 10DLC).

See it working

Type a sample inquiry and see the instant reply, the lead score and the follow-up plan. Sample data only, nothing is sent.

A sample store's orders, revenue and lead sources on one screen. Sample numbers, not a real company.

All demos. Every demo uses sample data, and the browser demos never send anything to a real phone.

Questions

How fast is the first reply?

Usually within a minute of the lead arriving, at any hour. Some businesses prefer a short delay of a few minutes so the reply does not feel automatic; that is a setting. Either way, no lead waits for someone to be free.

Will the follow-ups sound like a robot?

No, because they are written in your voice and approved by you before anything goes live. The AI fills in names and details and can answer a simple reply, but the wording of each message in the sequence is yours.

Can it work with the CRM we already use?

Yes, if the CRM has an API, which most do, for example HubSpot, Pipedrive, Zoho or Salesforce. Leads, replies and stages are written to your CRM, so your team keeps working where they already work.

Does it send text messages?

Yes, by text message (SMS) and email. Texts to US numbers need a business number registered with the carriers through the SMS provider (A2P 10DLC), which we set up with you. Leads can reply STOP at any time.

When does it stop following up?

When the lead replies, books, asks to stop, or reaches the end of the sequence. After the last message the lead is marked unresponsive and kept with its full history, so if they come back later the conversation continues where it left off.
