WhatsApp automation for coaching institutes
Admission season at a coaching institute is two months of the same conversation a thousand times: which batches, which timings, the fees, is there a demo class, how are the results. Parents message in the evening after work. The counsellor replies the next day, by which time the parent has visited the institute across the road. And once the season ends, nobody can say how many enquiries came, how many took a demo, and how many joined. The system answers at once, books the demo class, follows up the parents who went quiet, and keeps the count.
Admission season means the same conversation a thousand times, and nobody knows how many joined.
An assistant that answers batch and timing questions, books demo classes and follows up parents.
Every enquiry tracked from first message to admission, by course and by source.
The admission enquiry, step by step
A parent sees a hoarding or a reel and messages the number. The first question is almost always the course and the class their child is in. The assistant asks for those, then answers from your batch list: which batches run for that class, the days and timings, the faculty, the start date, and whether a demo class is available. It offers demo slots and books one, and sends the parent the address and what to bring. The enquiry is in your list with the child's class, the course and the source before the counsellor has seen it.
Fees are handled the way you want. Some institutes share the fee structure in the chat; others want the counsellor to discuss it at the demo. The assistant follows your rule and never invents a number.
Tracking admission enquiries without a register
Most institutes track enquiries in a register or a counsellor's phone, which means the count is wrong and the follow-up depends on the counsellor's memory. In the system every enquiry has a stage: enquired, demo booked, demo attended, fee discussed, admitted, or dropped with the reason. The counsellor's screen shows who is due a call today. The owner's screen shows the season: enquiries by course, by source, and by week, how many reached the demo, and how many joined.
That last number, enquiries to admissions by source, is usually the first time an institute sees which of its ads, hoardings or referral channels is worth the money. We do not promise what the number will be; we make sure it exists.
Following up parents
A parent who booked a demo gets a reminder the day before and the morning of. A parent who attended gets a message the next day asking if they have questions and, if the institute allows it, the batch start date and how to confirm the seat. A parent who went quiet gets a gentle follow-up a few days later and one more after a week, then nothing. Every one of those follow-ups is a rule you set and can change, and each one is logged so the counsellor knows what the parent has already been told.
During the year, not only the season
The same number serves existing students once the season ends. Timetable changes, holiday notices, test schedules and fee reminders go out as broadcasts to the right batch, and only to parents who have opted in. A parent asking "is class on tomorrow?" at 9 pm gets the answer from the timetable, not from a teacher's personal phone. Fee due reminders go out by the dates you set, with a payment link if you use one, and the accounts person sees who has paid.
For institutes with several branches, each branch sees its own enquiries and students, and the owner sees all of them.
What the counsellor's day looks like
Before the system, a counsellor's morning starts with a register and a list of numbers to call back, and most of the calls go unanswered because parents are at work. With the system, the morning starts with a short list: the parents who replied overnight, the demos booked for today, and the follow-ups due. Each one opens to the full chat, so the counsellor knows the child's class, the course asked about, and what the assistant has already said. The call, when it happens, starts in the middle of the conversation instead of at the beginning.
When a parent visits for the demo, the counsellor marks it attended in one tap, and the follow-up for that family switches from "are you coming?" to "how was it?" on its own. When the parent pays the admission fee, the stage moves to admitted, the enquiry follow-ups stop, and the family starts receiving the batch's messages instead. The counsellor never has to remember which list a parent belongs to.
At the end of the season the director gets a single page: enquiries, demos, admissions, by course and by source, and the counsellors' response times. That page is usually the start of the planning for next season.
Setup takes the institute's existing batch list and the current enquiry register as the starting point. The register is imported so no family is lost, the batches and timings are entered once, and the assistant runs alongside the counsellors for the first week so they can see what it says before it answers alone. Training for the counsellors is one short session; the screens are built for a phone, not a desk.
Honest limits
The assistant answers from what you give it: batches, timings, faculty names, the admission process. It does not make claims about results or ranks, and it does not quote fees unless you have told it to. A question it cannot place, a complaint, or a parent who wants to speak to the director goes to a person with the full chat. AI reads a message as a strong first guess, so when it is unsure it asks rather than assumes.
Automatic sending on your institute's number needs the WhatsApp Business API and Meta's approval, which we apply for on your behalf; until then the demos here use a simulator and no real messages are sent.
The system we would build
- Step 1Every new student enquiry is logged automatically
- Step 2A personal follow-up goes out the same day
- Step 3Gentle reminders follow if there is no reply
- Step 4Interested leads are flagged for you to call
- Step 5A weekly summary shows which students converted
Built with Lead sheet or CRM, WhatsApp and email, AI-written replies. The same plan appears in the system builder on the solutions page; this page explains it for one kind of business.

Questions
How do I track admission enquiries properly?
Every enquiry gets a stage (enquired, demo booked, demo attended, admitted, dropped) and a source. Counsellors update the stage from their phone in one tap, and the owner's dashboard shows the season by course, source and week. No register, no guessing at the end of the season.
Can it book demo classes?
Yes. You set the demo slots per course and batch. The assistant offers the free ones, books the parent in, sends the address and a reminder the day before, and marks the demo as attended or missed when the counsellor confirms.
What about fee reminders for existing students?
Reminders go out on the dates you set to the parents of each batch, with a payment link if you use one. Payments are marked by your accounts person or picked up from the payment gateway, and the reminders stop for that student automatically.
Will it share our fees in the chat?
Only if you tell it to. Many institutes prefer the counsellor to discuss fees at the demo, so the assistant says that and books the demo. If you share a fee structure, it quotes exactly what you gave it and nothing else.
