WhatsApp booking for salons and gyms

A salon's front desk answers the phone with one hand while doing a blow-dry with the other. A gym's trainer answers membership enquiries between sets. Both lose bookings and members to the same thing: the message that was not answered in time, the appointment that was not reminded, the membership that quietly ran out. WhatsApp booking for salons and gyms lets clients book, reschedule and renew on the number they already have, and lets your staff work instead of typing.

The problem

The front desk answers the phone mid blow-dry; memberships quietly expire; empty chairs that were booked.

What we build

WhatsApp booking per stylist or trainer, reminders, and membership renewal messages before the date.

What you get

Fewer no-shows, renewals chased for you, and client history that stays with the salon.

Online booking for a salon that lives on WhatsApp

Most salon clients do not want an app or a website form. They want to send "haircut Saturday afternoon?" and get a time. The assistant answers that: it checks the stylist's calendar, offers the free slots on Saturday afternoon, books the one the client picks, and sends a confirmation. If the client has a usual stylist, it books with them; if that stylist is full, it says so and offers another or another time. Reschedules and cancellations work in the same chat, and the freed slot goes back into the calendar at once.

The reminder goes out the day before and again a couple of hours before. A client who cannot make it says so in reply, and the slot is offered to the next person who asks. That alone is where most salons see the difference first: fewer empty chairs that were booked.

Services, prices and the questions in between

The assistant knows your service list, the time each service takes, and what you want it to say about prices. It answers the everyday questions: do you do keratin, how long does a bridal trial take, do you have a slot for two people together, is parking available. A question it has not been told the answer to, or a request for a specific package deal, goes to your front desk with the chat attached.

For spas and bigger salons with several rooms and therapists, the calendar handles rooms and people together, so a massage is never booked into a room that is in use.

Gyms: trials, memberships and the follow-up that matters

For a gym the enquiry is usually about a trial session or a membership. The assistant books the trial, sends the address and timing, and reminds the person on the day. After the trial, the follow-up is where memberships are won or lost: a message the next day asking how it went, the membership options you have set, and a gentle nudge a few days later if there is no reply. The trainer sees who tried and who joined.

The bigger loss for most gyms is at the other end: members whose plan expires and who simply stop coming. The system knows every member's expiry date, messages them two weeks before with the renewal options, reminds them once more near the date, and tells the front desk who has not renewed. Members who have not checked in for a few weeks get one friendly message, because an early nudge is cheaper than winning a new member.

What the owner and the staff see

Each stylist, therapist or trainer sees their own day: who is coming, when, for what. The front desk sees the whole calendar and adds walk-ins and phone bookings to it. The owner sees bookings by day and by staff member, no-shows, new enquiries, memberships due to expire this month, and renewals done. A summary reaches the owner on WhatsApp every evening.

Client history stays with the business: services done, preferences, the colour formula from last time, the member's plan and payments. When a stylist moves on, the clients' records do not.

Packages, memberships and the quiet weeks

Salons sell packages: six sessions of a treatment, a bridal package with a trial, a monthly plan for a regular. The system keeps count: each visit uses one session, the client is told how many are left, and a reminder goes out when the package is nearly used up, with the option to renew in the chat. Gyms do the same with personal training sessions and class passes. Nobody argues at the counter about how many sessions are left, because both sides can see it.

Every salon and gym has quiet weeks. The system can fill some of that gap without you lifting a finger: a message to clients who have not visited in six weeks, a midweek slot offered to regulars who usually come on Saturdays, a reminder to members whose plan allows a class they have never booked. These messages go only to clients who have messaged you first and have not opted out, which is the WhatsApp rule and also the way to keep them as clients.

The setup takes the existing diary or booking sheet as the starting point, imports the client list, and runs alongside the old way for the first week so nothing is lost. Staff learn one screen: their day. The owner learns two: the calendar and the summary.

Two things to know before you start

Automatic sending on your own WhatsApp number needs the WhatsApp Business API and Meta's approval for your business. We apply for it as part of the setup; it usually takes a few days, and your number stays yours. The demos on this site use a simulator, so nothing is sent to real phones.

The AI reads messages as a strong first guess. A booking request it is unsure about (two services, an unusual time, a name it cannot match to a client) is confirmed with the client or passed to your desk rather than booked wrongly. Everything it books is visible to your staff with the message it came from.

The system we would build

  1. Step 1A client messages you on WhatsApp or Instagram, at any hour
  2. Step 2An assistant trained on your prices and timings replies within seconds
  3. Step 3It books the appointment straight into your calendar
  4. Step 4The lead lands in one sheet with name, need and source
  5. Step 5Anything it cannot answer is sent to your phone

Built with WhatsApp Business API, AI assistant, Calendar, Google Sheets. The same plan appears in the system builder on the solutions page; this page explains it for one kind of business.

Questions

How does online booking for a salon work on WhatsApp?

A client messages the service and a rough time. The assistant checks the stylist's calendar, offers the free slots, books the one the client picks and sends a confirmation and a reminder. Rescheduling and cancelling happen in the same chat, and the freed slot is available at once.

Can clients book a specific stylist or therapist?

Yes. Each staff member has their own calendar and services. A client who asks for a particular stylist is booked with them; if that person is full, the assistant says so and offers the nearest time or another stylist, whichever you prefer it to do first.

How does gym membership follow-up work?

The system knows each member's expiry date. It messages them about two weeks before with the renewal options you set, reminds them once more near the date, and shows the front desk who has not renewed. Members who have not visited in a few weeks get one friendly check-in.

Do we need to change our billing software?

No. Bookings and memberships live in the system, and if you already use billing or membership software with an API we connect to it so payments and plans stay in step. If you work from a diary or a sheet today, the system replaces that and your staff update it from their phones.
